What the AI can do for you, what it costs, and how you stay in control

AI does the typing — you keep the final say

Ardent Seller's AI features exist to remove data entry, not judgment. They read your invoices, receipts, and paper sales records, draft Etsy listing copy, and suggest price changes — but every one of them stops at a review screen where you check, edit, and confirm before anything is saved. All of them are opt-out (you can switch each off in Settings), metered against a monthly allowance or credits, and covered by the same privacy promise: your data is never used to train AI models.

What the AI features are

You always review before anything commits

No AI feature in Ardent Seller writes to your books on its own. Document imports land in a review screen before a transaction is created, listing copy is drafted for you to edit and apply, and pricing recommendations wait for an explicit Accept. If you never click confirm, nothing changes.

Everything AI is controlled from one place: go to Settings → Account Preferences and find the card titled "AI Features" ("Control the AI-powered features available to this account"). Editing these toggles requires the manage-settings role. The first three toggles save when you click Update — and because account updates are audited, the audit trail doubles as your consent record. The email-body toggle saves the moment you flip it.

Read receipts sent in the email bodyOffWhether a forwarded email with no attachment has its body text parsed as a receipt. Lives inside the Email-to-import block and is disabled unless AI document capture is on. The body is read as text only — never rendered, and links inside it are never opened.

Turning a toggle off does two things: the server refuses to run that feature, and its entry points disappear from the app — no grayed-out buttons, no reminders. Turning AI document capture off hides "Import invoice", "Import receipt", and "Snap a sale" all at once (one switch covers all three capture flows) and disables email-to-import. Turning AI pricing advisor off removes the AI recommendation actions but leaves the free Pricing Health report fully available.

Allowances & credits

AI runs are metered on two rails. Flat-rate plans (Free, Maker, Artisan, Workshop) include a monthly allowance per operation that resets each billing period. Pay As You Go has no allowance — each successful run draws from your credit balance instead ($1 per credit; PAYG accounts get 30 free credits each month plus a one-time 50-credit signup bonus), and PAYG never hard-stops.

  • Document imports are one shared pool — invoice imports, expense receipts, and Snap-a-Sale captures all draw from the same monthly count.
  • You only pay for success — a failed, unreadable, or refused run never consumes an allowance unit or a credit. (A successful extraction counts even if you later discard the draft.) The allowance check happens before the AI is called.
  • When a flat-plan allowance runs out, that feature stops until the period resets and you'll see an upgrade prompt — there is no overage billing and no top-up pack.
  • Free fallbacks always remain — manual entry with your file pre-attached for documents, and the free Pricing Health report for pricing. Smart Restock Alerts is free and unmetered on every plan.

Privacy: what is sent and what never is

All AI features use Anthropic's Claude. Your data is never used to train AI models, and each feature sends only what it needs:
