A transaction is any recorded event that affects your inventory quantities, costs, or financials. Each entry counts as one transaction regardless of how many line items it contains. The full list of transaction types is:
  • Purchases — buying materials or supplies from vendors
  • Sales — selling products to customers
  • Production — manufacturing or assembling products (the output transaction and ingredient consumption each count separately)
  • Transfers — moving inventory between locations (each send or receive counts separately)
  • Adjustments — correcting inventory counts or costs
  • Stocktakes — recording physical inventory counts
  • Expenses — recording business expenses
  • Income — recording other business income
  • Waste & Loss — recording damaged, expired, or lost inventory
  • Donations — donating inventory to charities
  • Initial inventory — setting the starting quantity and cost when adding a new inventory item
What does NOT count: editing item details (name, description, photos), managing recipes or procedures without running production, updating settings, or browsing reports.

Credit-based pricing applies only to the Pay As You Go plan. There are no setup fees — you only pay for what you use. Usage is measured in credits, and each credit costs $1.00. Every month you receive 30 free credits that can be applied to any usage — transactions, additional users, locations, storage, or audit trail upgrades. Transaction credit rates are graduated: First 50 transactions: 0.6 credits each; Transactions 51-150: 0.3 credits each; Transactions 151-350: 0.12 credits each; Transactions 351-1,000: 0.06 credits each; Transactions 1,001+: 0.03 credits each. Additional users, locations, storage (0.25 credits per GB), and higher audit trail retention tiers also incur monthly credit costs, all deducted from your free allowance first. The Maker, Artisan, and Workshop plans use simple flat-rate pricing instead. Use the pricing calculator above to estimate your monthly cost.

All signup bonuses expire one month after they are granted. If you upgrade to a plan with a larger bonus, you'll receive the difference as additional bonus.

You can switch between Maker, Artisan, and Workshop at any time — upgrades take effect immediately, and downgrades apply at the end of your billing period. If you upgrade to a plan with a larger signup bonus, you'll automatically receive the difference as additional bonus transactions. You can also switch between monthly and annual billing on the same plan. Switching between a flat-rate plan (Maker/Artisan/Workshop) and Pay As You Go requires cancelling your current subscription first, then resubscribing after it expires. This is a payment provider limitation. All your data is always preserved.

On the Pay As You Go plan, it includes 2 users and 2 locations. Additional users cost 10 credits/month each, and additional locations cost 10 credits/month each. On the flat-rate plans, users and locations are capped at the plan limit (Maker: 2 users, 2 locations; Artisan: 3 users, 3 locations; Workshop: 5 users, 5 locations). Upgrade your plan if you need more.

The audit trail records all changes made to your business data, providing transparency and accountability. On the Free plan, you get 7-day retention. On Maker and Artisan, you get 30-day retention included. On Workshop, you get 60-day retention included. On Pay As You Go, you can choose your retention tier: 7 days (included), 30 days (10 credits/month), 60 days (50 credits/month), Unlimited (100 credits/month). You can change your audit trail tier at any time on the PAYG plan.

Each plan includes a storage cap for photos and file uploads: Free 200 MB, Maker 1 GB, Artisan 5 GB, Workshop 20 GB, and Pay As You Go Unlimited (billed at 0.25 credits per GB per month based on peak usage). When your storage limit is reached, new uploads are blocked until you delete existing files or upgrade to a plan with a higher cap. You can check your current storage usage in Settings > Billing.

For the Maker, Artisan, and Workshop plans, you can choose monthly or annual billing. Annual billing gets you 2+ months free. For the Pay As You Go plan, there is no setup fee — credits are billed monthly based on your peak usage during the billing period.

Yes! All three flat-rate plans (Maker, Artisan, and Workshop) offer annual billing with 2+ months free. Annual prices: Maker $180/year, Artisan $444/year, Workshop $648/year. You can switch between monthly and annual billing at any time from your billing settings.

Peak usage means the highest level of resource consumption recorded during a billing period. This applies to the Pay As You Go plan. For transactions, it is the total number of transactions you process that month — deleting a transaction afterward does not lower your count. For users and locations, it is the maximum number active at any point during the month. For audit trail retention, if you upgrade to a higher tier mid-month and then downgrade, you are billed at the higher tier for that period.

Yes. While the number of inventory items you can track is unlimited, adding new inventory requires setting an initial quantity and cost, which counts as a transaction.

Yes, you can upgrade to the Maker, Artisan, Workshop, or Pay As You Go plan at any time. All your existing data is preserved.

For the Pay As You Go plan, there is no setup fee, so there is nothing to refund upfront. Usage-based charges are non-refundable as they reflect actual usage. For Maker, Artisan, and Workshop plans, you can cancel anytime and your plan will remain active until the end of your current billing period. Partial-period refunds are not available, whether you are on monthly or annual billing.

Accounts on the Free and Pay As You Go plans are subject to an inactivity policy. If no qualifying activity is detected, your account will be warned, then locked, and eventually have its data permanently deleted. Free plan: warning at 30 days, lock at 60 days, deletion at 75 days. Pay As You Go: warning at 60 days, lock at 90 days, deletion at 180 days. For Free accounts, logging in or recording a transaction resets the clock. For PAYG accounts, only transactions count. You'll receive email notifications before any action is taken. Locked accounts can be reactivated instantly by logging in, and you can download a complete copy of your data from the lock screen before the deletion deadline. Maker, Artisan, and Workshop plans are fully exempt from the inactivity policy.
