    Click Connect Square in Settings, sign in on Square’s own page, and approve. No store address to type, no password sharing.
  2. Map locations, link items

    Match each Square location to one of yours. Items come in on their own and link to your inventory by SKU; link the rest with a click.
  3. Sell, make, and stay in step

    Completed sales import about every 15 minutes as sales that move stock and carry cost of goods. Turn on auto push and Square’s counts follow when you finish a batch.

Register and online sales become sales

Each completed sale arrives with its lines matched to your products, discounts and tax recorded, and tips and service charges as their own lines. Stock moves at the location where it was rung up.

Square fees on your books

Square’s payment processing fees import on the Ledger tab as expenses in the Schedule C Commissions and Fees category, linked to their sales. Cash sales carry no fee.

Stock in step, per location

Map Square locations to yours. Turn on auto push and counts go to each mapped location separately, minus a safety buffer you set, whenever inventory changes. Until then, your Square counts are left alone.

Items linked by SKU

Items and variations pull in every six hours and link to your inventory items by SKU automatically. Link the rest by hand, one variation per row.

Custom amounts never lost

A custom amount keeps its full revenue but takes no stock, and the Sales tab’s Needs attention filter lists those sales. Sales with no customer go to one walk-in customer.

True cost, refunds, and reconciliation

Recipes give every product a real cost, so profit reports show what your Square sales earned. Full and partial refunds are booked by amount, and a daily check logs any difference between your counts and Square’s.

Not included: payouts to your bank, item photos, and listing view analytics, which Square does not report. Sales arrive on a schedule, about every 15 minutes, not the instant you ring them up. The sync guide lists exactly what moves and what does not.

You sign in and approve on Square’s own page, with a fixed set of permissions. Your Square password never touches Ardent Seller.

Encrypted tokens

Access tokens are renewed automatically. At rest they are encrypted with AES-256-GCM, never shown in the app and never written to logs.

Your money stays in Square

Ardent Seller never takes, moves, or refunds a payment, and never edits your Square catalog. Disconnecting revokes its access in Square.

Common questions

What makers ask before connecting Square.

Does the Square connector cost extra?

No. The Square integration is included on every plan, including the free tier, with no per-connection fee. A Square connection counts toward your plan's connected-shop limit like an Etsy shop or a Shopify store. Square's own processing fees are unchanged; Ardent Seller simply records them.

Which Square sales come in?

Every completed Square sale, whether you rang it up on the register or it came through Square Online, from every Square location. Each one becomes a sale in Ardent Seller with its lines matched to your products, discounts and tax recorded, and tips and service charges as lines of their own. An online order that is paid but still open in Square comes in once it is completed.

What about custom-amount sales and customers I never record?

Most register sales have no customer, so they are recorded against one "Square walk-in" customer per connection instead of creating a new customer each time; you can pick a different customer, or none, in the connection's settings. A custom amount has no item behind it, so it imports with its full revenue but takes no stock, and the Sales tab's Needs attention filter lists those sales so you can tidy them up.

Does it record Square fees?

Yes. Square's payment processing fees import on the connection's Ledger tab and are booked as expenses in the Schedule C Commissions and Fees category, linked to their sales. Square reports a fee a little after the payment, usually within minutes, so it shows up on a later sync. Refund fee adjustments come in the same way. Payouts to your bank are not imported.

Is it real time?

No. Ardent Seller checks Square for completed sales and new fees about every 15 minutes and refreshes your items every 6 hours, so a sale rung up at the market appears on the next run. You can also start a sync by hand from the connection page at any time.

Will Ardent Seller stop me from overselling?

It can, once you turn on auto push. With auto push on, whenever stock changes in Ardent Seller (a production run, a sale on another channel, a transfer), the new count is pushed to each Square location you mapped, minus a safety buffer you set per connection. Listings start on Manual only, so Ardent Seller never changes a Square count until you switch auto push on or push by hand. Connecting Square alongside an Etsy shop or Shopify store needs a plan with room for two shops: Artisan or higher, or Pay As You Go.

Can Ardent Seller change my Square items, prices, or payments?

No. Items flow one way, from Square into Ardent Seller, where they are matched to your inventory by SKU. The only thing Ardent Seller ever writes to Square is stock counts. It never creates or edits an item, a price, or a description, and it never takes, moves, or refunds money; Square stays your register.

Is my Square connection secure?

You approve access on Square's own page, so your Square password never touches Ardent Seller. Access tokens are renewed automatically and stored encrypted with AES-256-GCM. Disconnecting from Settings revokes Ardent Seller's access in Square.
